Booking staff headshots for a handful of colleagues is simple. Once a company has one hundred, three hundred or five hundred people, the HR or admin lead is usually less worried about the photos than about the project getting out of hand. These are the six concerns we hear most often in corporate enquiries, and how each can be handled.

1. Will it disrupt daily operations?

The whole company does not need to stop at the same time. The shoot runs across days and time slots, and each colleague only leaves their desk for the slot they chose.

Departments can also be staggered, for example front-line or shift teams on suitable days and a separate window for leadership. Share the approximate headcount, department spread and any blackout dates, and we will suggest the number of shoot days and the overall flow.

2. How do we notify and follow up with hundreds of people?

This is usually where HR spends the most time. Once HR provides the staff list, booking links are sent to all colleagues at once and each person chooses a slot on their phone.

HR can check booking progress at any time and see who has booked and who has not, so reminders only go to those who still need one, without maintaining a spreadsheet by hand.

3. What about colleagues who are late, on leave or travelling?

With a large group, some people will miss their slot. Each shoot day keeps make-up slots so late or unexpectedly busy colleagues can be photographed the same day without disturbing those who booked.

Colleagues who cannot attend at all, and new joiners later on, can be photographed in a separate session using the same background and lighting set-up, so new and existing photos still match.

4. How do we match hundreds of photos to the right people?

The most common error in a large shoot is losing track of who is in which photo. Names are checked against the list on site, and files are delivered organised by office location and staff number, so HR can map them straight to internal systems, staff cards or the company website.

5. How do we stay consistent across offices, or across Hong Kong and Shenzhen?

When offices are photographed separately, background colour, lighting and framing often drift, and the photos look mismatched on one web page. We use the same background, framing and retouching style at every location.

Hong Kong and Shenzhen offices can be planned together, with costs itemised by location for internal approval.

6. What if colleagues are unhappy with their photo?

After the shoot, each colleague can choose their own photo online rather than having someone choose for them. This reduces reshoot requests and makes people more willing to use the photo on LinkedIn or the company website.

Retouching stays natural and keeps each person recognisable, with one standard across the company.

Delivery time and cost

Delivery is generally within two weeks of the shoot, as high-resolution JPEG and sizes suited to internal systems, shared by cloud link.
