Before a Corporate Headshot Day: 7 Checks for HR and Admin
Before a corporate headshot day, HR or admin can prepare seven things: intended use, photo types, headcount and groups, venue, clothing direction, shooting order, and retouching and delivery scope. Approximate details are fine; mark anything that is still to be confirmed.

Corporate staff photography is often used by HR, Marketing and management at the same time. Start with who needs to be photographed, where the images will be used and what space is available. This makes it easier to decide whether the company needs clean staff portraits, leadership images, or formal and natural team photographs.
The checklist below follows the information needed for a Hong Kong on-site corporate photography enquiry. The company does not need to decide equipment placement, a complete running order or a fixed image quantity in advance.
Put these seven details into one brief
Record what is known and mark unfinished items “to be confirmed”.
Intended use
Prioritise the company Team/About page, recruitment material, LinkedIn, proposals, speaker or media profiles.
Use affects crop, background and formality.Photo types
List staff portraits, leadership portraits, formal company photographs and natural team photographs separately.
Avoid asking only for “company photos”.Headcount and groups
Estimate staff, leadership, department and whole-company numbers separately, and mark uncertain participants.
One total rarely applies to every photo type.Possible venue
Share mobile photos of a meeting room, clear wall, reception area or work space, together with the district.
There is no need to plan equipment placement.Clothing direction
Choose formal business, smart casual or a more natural team direction, then note colours and patterns to avoid.
A shared direction does not mean identical outfits.Shooting order
Prepare a provisional order by department, work needs and leadership availability, with one internal coordinator.
Let the next group know when to be ready.Quotation scope
Confirm headcount, image selection, natural retouching, intended use, file requirements and delivery arrangements.
From HK$4,800 is a project starting budget, not a fixed per-person package.
Separate staff, leadership and group photographs
One corporate photography project can include several image types, but their intended use and participant numbers should be listed separately. This makes venue, composition, order and quotation scope easier to review.
Individual portraits with a shared background, framing and lighting direction for team pages, recruitment and company materials.
More formal or natural portraits for company profiles, leadership introductions, speaker information and media material.
Formal company or department photographs and natural team scenes can be planned separately; group-only enquiries are also possible.
Office venue: share mobile photos instead of planning equipment
Share mobile photos of one or two possible spaces, such as a meeting room, clear wall, reception area or suitable work area. The background, lighting and colleague movement can then be discussed against the actual environment.
- Will the proposed area affect a main walkway or normal work?
- Can clutter or unneeded furniture be moved temporarily?
- Does the space suit the proposed group photograph?
- If environmental portraits are needed, which area best reflects the role?
Clothing and order: agree a direction, not an identical uniform
Agree the formality, colour direction and items to avoid. Colleagues do not need to practise poses; basic direction on posture, eye line and expression can be provided as needed.
These photographs will mainly be used for _____. The clothing direction is _____. Please choose well-fitting, neat and simple clothing. The exact shoot time and location will be confirmed separately.
- Nominate one colleague to keep the list and handle last-minute changes;
- notify the next group by department or working arrangement; and
- list leadership and group-photo participants with a provisional order.
Plan formal and natural team photographs separately
A formal group photograph depends on headcount, positioning and clarity. A natural team photograph also needs a suitable activity or working environment. Both can be discussed within one project, but should not be reduced to “one group photo”.
Confirm retouching, image selection and delivery in the quotation
The current service page lists Hong Kong on-site corporate photography from a project starting budget of HK$4,800. This is not a fixed per-person package. The final price depends on headcount, photo types, venue, retouching and delivery requirements.
- Photography scope: staff, leadership, formal group and natural team photographs;
- Image handling: image quantity, selection process and natural retouching scope;
- Intended use: website, recruitment, LinkedIn, proposals or other confirmed needs;
- Files and delivery: formats, usage requirements and delivery arrangements; and
- Outstanding items: changing headcount, groups, dates or venue details.
Retouching should remain natural and within the confirmed scope, while retaining skin texture, expression and recognisable features.

Frequently asked questions
Can we enquire before the final headcount is confirmed?
Yes. Share provisional numbers for staff portraits, leadership portraits and group photographs, and clearly mark what is still to be confirmed. This is enough to begin discussing the direction and budget range.
Can staff portraits, leadership portraits and group photographs be planned together?
They can be planned together according to the headcount, venue and requested photo types. Whether they suit the same day, and the order for the day, will be confirmed after the requirements are reviewed.
Do colleagues need to wear exactly the same clothing?
No. Agree the level of formality, colour direction and items to avoid, so the set shares one direction while still reflecting different roles and individual features.
How do we know whether the office has enough space?
Share the district, approximate headcount, mobile photos of possible areas and the photo types required. The background, lighting and on-site arrangement can then be confirmed against the actual space.
How should later portraits for new joiners be handled?
If the company expects future new joiners, mention this when making the enquiry. Venue and on-site conditions may differ on another date, so the actual arrangement requires separate confirmation.
How many people and images are included from HK$4,800?
HK$4,800 is the project starting budget for Hong Kong on-site corporate photography, not a fixed per-person package. Headcount, photo types, image quantity, retouching and delivery scope are confirmed in the WhatsApp quotation.
Ready to plan your staff and team photos?
Share your approximate headcount, photo types, district and proposed date. We will use these details to confirm the project scope and quotation.
